Terms and Conditions 

Poinciana.sa (Poinciana Hotel)

These Terms and Conditions govern all reservations, stays, and services provided by Poinciana Hotel (“Hotel”, “we”, “our”, or “us”). By making a reservation or staying at the Hotel, guests agree to comply with the following terms.


1. Reservations & Booking Policies

1.1 Reservation Confirmation

All bookings are subject to availability and confirmation by the Hotel. A reservation is considered confirmed once the guest receives an official confirmation notice.

1.2 Guest Information

  • Guests are required to provide a valid phone number at the time of booking.
  • Guest address details are not mandatory during reservation.
  • There is no age restriction for booking or staying at the Hotel.

1.3 Maximum Length of Stay

The Hotel does not accept reservations exceeding 30 consecutive nights.

1.4 Group Reservations

No specific group reservation policies apply. Standard terms and conditions govern all bookings unless otherwise agreed in writing.


2. Check-in & Check-out

  • Check-in: From 12:00 PM
  • Check-out: From 12:00 AM (midnight) until 10:00 AM

Guests arriving outside standard hours should notify the Hotel in advance. Early check-in or late check-out is subject to availability and may incur additional charges.

There is no curfew; however, guests are expected to respect other occupants and maintain quiet hours as appropriate.


3. Cancellation, Modifications & Prepayment

3.1 Flexible Rate Policy

For reservations under the Flexible Rate:

  • Guests may cancel free of charge until 6:00 PM on the day of arrival.
  • Cancellations made after 6:00 PM on the arrival day will incur a charge equal to the first night’s stay.
  • No prepayment is required at the time of booking.

3.2 Non-Refundable Rate Policy

For Non-Refundable reservations:

  • The total reservation amount will be charged at any time after booking.
  • In case of cancellation, modification, or no-show, the full booking amount is non-refundable.

3.3 Grace Period

Bookings cancelled within 24 hours of confirmation may be eligible for cancellation without fees, provided the cancellation occurs outside the applicable penalty window.

3.4 Modifications

Date changes for non-refundable bookings may be permitted at the Hotel’s discretion, subject to availability and rate differences.

3.5 Pre-Authorisation

The Hotel may pre-authorise a guest’s payment card prior to arrival to verify validity. A pre-authorisation is a temporary hold and is not a charge. Policies may be updated periodically.


4. Payment Policy

  • The Hotel accepts cash payments only, unless otherwise agreed in writing.
  • For applicable rate plans requiring prepayment, payment terms must be fulfilled as stated in the booking confirmation.
  • All prices are quoted in Saudi Riyals (SAR) unless otherwise specified.

5. Children & Extra Beds

5.1 Children Policy

  • Children of all ages are welcome.
  • No special child rates are currently applied unless stated at the time of booking.

5.2 Cots & Extra Beds

  • The Hotel does not provide cots.
  • The Hotel does not provide extra beds.

Room occupancy limits must be respected at all times.


6. Internet, Parking & Pets

6.1 Internet Access

Complimentary WiFi is available in all areas of the Hotel at no additional charge.

6.2 Parking

Parking facilities and related information are provided separately under the Hotel’s Facilities & Services section and are subject to availability.

6.3 Pets

Pets are not permitted on the premises.


7. Damage & Liability

Guests are responsible for maintaining the room and Hotel property in good condition throughout their stay.

  • Any damage, loss, or excessive cleaning requirements caused by a guest may result in additional charges.
  • The Hotel reserves the right to claim compensation for damages identified during or after the stay.

8. Conduct & House Rules

Guests agree to:

  • Comply with all applicable laws and regulations of the Kingdom of Saudi Arabia.
  • Respect other guests, staff, and Hotel property.
  • Avoid any activity that may disturb other occupants or damage the Hotel’s reputation.

The Hotel reserves the right to refuse service, cancel reservations, or request a guest to leave the premises in cases of misconduct or breach of these Terms.


9. Policy Exceptions & Amendments

The Hotel may implement temporary policy changes during peak seasons, holidays, or special events. Any such changes will be communicated at the time of booking.

The Hotel reserves the right to update or amend these Terms and Conditions at any time. The version applicable to a reservation is the version in effect at the time of booking.
